Financial Management

  1. Prepare purchase orders for all supplies required for the maintenance of the property
  2. Issue and maintain a log of security keys and deposit for same, in accordance with the Condominium Board policy, if such security system exists
  3. Maintain a complete condominium owner’s register file and update changes as necessary
  4. Prepare newsletters to the condominium owners when required
  5. Provide an experienced property manager to perform duties efficiently
  6. Hiring and supervision of qualified personnel where applicable.
  7. Supervising all services and contracts as to obligations and performance.
  8. Attending Board of Directors meetings and Annual General Meetings
  9. Performing regular site inspections and meeting all maintenance and budgetary requirements and obligations
  10. Maintaining relations with owners of the Corporation and enforcing the applicable by laws and house rules
  11. Establishment and maintenance of a computerized receivables system
  12. Establishment and maintenance of separate trust accounts
  13. Scrutiny, recording and payment of all invoices related to the project
  14. Provide detailed monthly financial statements, including comparisons with budget (Current month and year-to-date). Submit actual income and expense statements with a year-to-date column, plus a column indicating the year-to-date budget
  15. Preparation of budget and expenditures
  16. Formulation of capital reserve budget; predicted upon results of a comprehensive reserve fund study
  17. Attendance at scheduled meetings of the Board of Directors with presentation of financial and management reports
  18. Prepare and submit all H.S.T. returns
  19. Prepare non-audited financial statements and general ledgers for Condominium Corporation
  20. Perform payroll administration
  21. To keep directors aware of the physical conditions of the building, property, and equipment to ensure that the building’s values and assets are preserved
  22. Arrange for the preparation of Status Certificates for executives. Cost for any Status Certificates are a direct cost to the condominium owner who requests it.Organize work orders and scheduling for in-house staff and contractors

  1. Provide written reports and recommendation to the Board of Directors.
  2. Administer all contract and maintenance service needs for each individual property, including but not limited to:
  3. Snow Removal and Landscaping
  4. Pest Control
  5. Security Control
  6. Cleaning and Maintenance of Common Areas
  7. Garbage Removal
  8. Janitorial Services
  9. Fire Safety Inspection and Equipment Maintenance
  10. Window and Glass Cleaning
  11. H.V.A.C Maintenance
  12. Develop and implement a maintenance program relating to all aspects of the physical components of the building including mechanical, electrical, plumbing, fire safety system and insurance
  13. Detailed assessment of all solicited tenders and quotations; to ensure the best possible contractual maintenance of the complex and a fiscal responsible mandate.
  14. Establishment of energy and cost saving protocols
  15. Provide 24 hours a day availability and on call service. All members of our team will become fully familiar with your property. If your property manager is unavailable for any reason, the call will be forwarded to the next managing executive to ensure continuous service

  2. While many large projects are completed with the guidance of Building Consultants and Engineers, smaller scale projects are often coordinated by the Property Manager.

  1. Diligent Home uses an annual planning guide which helps us maintaining the long term preventative maintenance.  We always follow the  POP Rule – Predictive testing, Observation and Planning. Some of our inspections include  semi-annual, annual, monthly and weekly condo inspections.

  1. Building coverage is one of the more complex parts of insuring a corporation. At Diligent Home, we  work closely with major insurance carriers to standardize insurance requirements for our Condominiums. A condo corporation master policy typically provides coverage in one of two ways: 

  • Insures the basic building(s) (walls, roof, floors, elevators) but leaves the individual unit owners with the responsibility of insuring their appliances, carpeting, cabinets, wall coverings, and other items in their unit, and in some instances the interior walls.


  • Insures both the basic building(s) and the items within each unit other than unit owner/tenant property.
